Hiring Process

How applications are reviewed, what candidates can expect, and where the Laboratories draw boundaries around unpaid work, privacy, and station access.

The Laboratories hire slowly because most roles touch long-running records, private field infrastructure, public scientific claims, or contributor trust. The process is meant to be clear before it is fast.

Review sequence

01
Application intake
Restricted queue by requisition
02
Program screen
Relevant office reviews evidence
03
Work sample
Bounded exercise or portfolio discussion
04
Panel review
Research, operations, or records staff
05
Access review
Role-specific final checks
Fig. 1 Candidate review path -- Typical sequence. Some seasonal and operations roles use a shorter path.

The first review is performed by the program office responsible for the role. Recruiting staff coordinate scheduling and records, but they do not rank scientific claims, software judgment, archive practice, or field safety readiness.

No speculative labor
Candidates may be asked to discuss prior work or complete a bounded exercise. FAL does not ask candidates to prepare unpaid research plans, catalog decisions, architecture plans, or communications strategies that the Laboratories could use without hiring them.

Candidate communications and timing

MilestoneTypical timingCandidate record
Packet receivedImmediate confirmation when the form writes successfullyRequisition ID, source route, schema version, policy version
Recruiting completeness checkWithin five business daysRequired materials, contact data, eligibility, location model
Program office first readAfter the posted review-begins datePanel notes, evidence links, role-family exercise recommendation
Work sample or panelTwo to four weeks after first readBounded exercise, interview schedule, accommodation notes if requested
Finalist reviewRole dependentReference permission, station or access review, offer constraints
Fig. 2 Typical recruiting cadence -- Actual timing depends on program travel, field windows, reference availability, and weather holds for station visits.

Candidates should not read silence as disinterest before the posted review window. Some programs hold complete packets until the review date so early applicants and later applicants are evaluated against the same docket.

What to prepare

MaterialUseful forNotes
CV or resumeAll rolesInclude relevant field, research, software, operations, archive, or communications work.
Publication or report listResearch and data rolesPreprints, technical reports, public data products, and standards work are all useful.
Portfolio or code linksSoftware, data systems, design, communicationsPublic examples are preferred. Do not send proprietary source code.
Field or access-controlled site experienceStation, operations, archive, instrumentationBriefly describe safety, records, visitor, or chain-of-custody experience.
Fig. 3 Application materials -- Not every role needs every item. The requisition and program office determine the final request.

Applications with precise links are easier to review than long cover letters. The strongest applications show evidence of careful work, clear writing, and respect for uncertainty.

Privacy and records

Application records are used for hiring review and retained according to the Laboratories' recruiting retention schedule. FAL does not sell candidate information, does not use candidate applications as public material, and does not publish candidate names.

  • Do not include confidential employer material or restricted research data.
  • Do not include personal documents unless the recruiting office specifically requests them after finalist review.
  • References are contacted only after the candidate is told they are being requested.
  • Candidates may ask recruiting to remove outdated application material from active review.

Station access

Calder Ridge is private research property with working instruments, archive controls, and visitor restrictions. On-site and hybrid roles may require a station access review, safety briefing, and agreement to escorted-area rules before offer or start date.

Remote roles
Remote eligible roles remain real remote roles. Some require occasional station residencies so staff can understand the record, the instruments, and the people whose work their systems affect.
